Team leader Front Desk & Back Office

Vistra Amsterdam is recruiting a Team leader Front Desk & Back Office. In this position you will be responsible for managing the Reception & Support team and you are in charge of several operational Facility tasks. You represent Vistra in an active way, give service to external clients & service providers and make sure the all Vistra employees working in Amsterdam are well supported.


Key Responsibilities

  • You will have the final responsibility for corporate filing and compliance storage. Also you look after the external archives and manage the responsible team members
  • You coordinate and take care of internal moves
  • You check and approve all invoices that are facilitated related
  • You are the first point of contact for contract managers for vendors & internal clients in case of queries regarding facility management
  • You coordinate and manage all parking spots/bike & scooter passes for Vistra employees
  • You are responsible for the safety within the office building and the RI
  • You will present the Facility & Support department during the introduction training for all new hires.
  • You create conditions and working environment in such way that both the (internal) client and the employee satisfaction is optimized
  • You are responsible towards illness management your team
  • You organize and manage monthly  team meetings
  • You organize target setting and appraisal interviews for your team members
  • You have the final responsibility for manning of the back and front office

Qualifications and other requirements

  • You have gained several years of experience in a similar position with the financial or legal industry
  • You are well organised and a problem solver
  • You are flexible, loyal and act proactive on a high service level
  • You are accurate
  • You are natural leader and team player
  • Fluent in English and Dutch
  • Fulltime available (or 32/36 within 5 days)
